THE WORKSPACE STARTER GUIDE

Your first IPO, organised from day one.

Set up an IPOxCards workspace, invite users, link demat records, record bank balances and follow your first IPO through application, allotment and reconciliation.

A useful workspace begins with clear relationships: who owns each demat, which bank record funds the application, and what actually happened. You do not need to enter every historical IPO before getting started.

1. Create the administrator workspace

On the IPOxCards homepage, choose Create your workspace and complete administrator signup. Use an account you control. Existing users should sign in rather than create another workspace for the same operation.

The administrator coordinates workspace records. Invited users have a narrower view of their own linked information; master-admin controls are separate.

2. Invite people before adding their demats

Open Accounts → Users → Invite user. Create a signup code and share it directly with its intended recipient. They create their own account and password. Do not share your administrator login or post invitation codes publicly.

Once the user is linked, add the demat records under the correct person. Check the identifying details and agreed profit-share percentage. Two demats belonging to one person should remain separate account records under that same user.

  • The user and each demat owner are correctly linked.
  • Account identifiers match the records you are authorised to manage.
  • Profit-share settings reflect the actual agreement.
  • A user can identify their own accounts without seeing unrelated records.

3. Establish the bank-balance starting point

In Funding, add the bank account identity and its opening or closing balance with the correct date. Only the last four account digits are stored for identification. Use a recent, verified balance; a saved figure is not a live connection to your bank.

When money moves between your recorded accounts outside IPOxCards, use the internal-transfer entry to record the source, destination, amount, date, fees and reference. This is a ledger entry, not an instruction to the bank. Review it before saving so the same transfer is not entered twice.

See the IPO funding planning guide for handling overlapping issue windows and expected unblocking dates.

4. Track one IPO from the account checklist

Open the IPO workflow and review the issue identity, dates and per-lot amount. Use published exchange and offer-document information to verify the issue. Select the relevant demat, record the lots applied and link the application funding bank.

Mark an application as applied only after confirming it through your actual bank or broker workflow. A planning selection does not mean an exchange has received or accepted an application. Keep unresolved outcomes pending.

5. Confirm outcomes and reconcile the result

After checking the official allotment result, record allotted or not allotted for each account. If shares are sold, enter the returned amount or profit/loss in the selected entry mode and record charges according to that mode. Review the displayed user and administrator shares.

If you choose to credit sale proceeds to the manual bank ledger, select the bank that actually received the money and verify that the same receipt has not already been recorded. Follow the IPO reconciliation checklist before treating the issue as complete.

A small daily routine that keeps records useful

  • Review open IPOs and outstanding account statuses.
  • Update bank balances or transactions from confirmed records.
  • Check whether expected refunds have actually become available.
  • Resolve missing results, charges or receiving-bank details.
  • Review the account-level trail before relying on totals.
